1.5 Mange/View Reservations

Manage/View Reservations – Selecting the ‘Reservations’ link from the guest extranet home page opens the Reservations page.




When a reservation entry is highlighted the following reservation information is displayed:


a.  Reservation ID .

b.  Property Name.

c.  Name – The name of the member on the reservation.

d.  Status – The status of the reservation is designated by the following:

  * Down Payment Not Met = Un-Confirmed

  * Payment Up to Date = Confirmed

  * Checked In

  * Checked Out

e.  Arriving – Arrival Date

f.  Departing – Departure Date

g.  Property Thumbnail and Description


Guests can perform the following actions when a reservation entry is highlighted:




a.  Add Travel Insurance.

b.  Add the Damage Insurance.

c.  Add Guest charges (Available Guest Extras).

d.  Sign the Lease Agreement (VRA).

e.  Apply a credit card or e-check payment to the reservation (Make a Payment).

f.  Update the guest information at the reservation level.  This will only update the member information for the specific reservation.

g.  Print/Email the reservation confirmation.


NOTE:  Any of the reservation actions can be turned off by VRM.  For example if you do not want to allow guest the ability to apply a payment online, VRM can prevent the “Make a Payment” link from showing on the Guest Extranet.

 

A reservation entry will not display within the guest extrnet without meeting certain criteria.  Only Short Term, NON-Cancelled reservation will display within the guest extranet.  If a short term reservation meets this criteria, the following actions can be performed at ANYTIME, even on a past reservation:


a.)  Sign Lease Agreement

b.)  Print/Email Confirmation

c.)  Update Reservation Member Info


The remaining actions are regulated by the guest extranet database configuration.  The following link options will display active when the number of days from the current date to the check in date is greater than the set guest extranet database configuration value.


d.)  Travel Insurance

e.)  Damage Deposit Waiver

f.)  Available Extras (Add/Removing of guest charges)

g.)  Make a Payment


By default, the guest extranet configuration number of days value  is set to 10 days.  So if today’s date is 5/15/2014, and a reservation arrives on 5/22/2014, a guest will not have access to the links listed above due to the number of days before the reservation checks in is equal to 7.  The number of days, 7, is less than the database configuration value of 10.  The same goes for any reservation with an arrival date less than today’s date.
